Process and workflow planning
How It Works

From intake to
submission-ready.

Four structured steps that move organizations from where they are to where the funding is — with discipline, clarity, and zero wasted effort.

Step 01

Readiness
Assessment

Every engagement begins with a structured diagnostic. Before any writing starts, we identify exactly where the gaps are — and where the opportunities exist. This prevents wasted bandwidth and positions the organization for stronger proposals.

  • Organizational audit: Board structure, fiscal health, compliance posture, program documentation, and data systems reviewed and scored
  • Funder-fit analysis: A curated list of 10–20 funders ranked by alignment, likelihood, and strategic value to the organization
  • Gap identification: Specific weaknesses flagged — from missing logic models to board composition issues
  • Action memo deliverable: A prioritized plan with clear, sequenced next steps — not a generic audit report

Timeline: 2–3 weeks from kickoff to deliverable. This step is the foundation everything else builds on.

Step 02

Strategy &
Research

With the assessment complete, DSA builds a targeted prospect pipeline. This isn't a bulk list — it's a curated, scored portfolio of opportunities filtered for realistic fit and strategic value.

  • Prospect scoring: Each opportunity evaluated against organizational capacity, funder priorities, and competition density
  • Go/no-go filters: Built-in decision criteria that protect your team's bandwidth from low-probability pursuits
  • Deadline mapping: All opportunities mapped against a 6–12 month funder calendar
  • Strategy memo: A clear recommendation on which opportunities to pursue, in what order, and why

Deliverable: A scored prospect list with 10–20 opportunities, plus a strategy memo that becomes the team's pursuit playbook.

Step 03

Proposal
Development

This is where DSA builds the actual submission. Every component is structured to align with how reviewers score — not just what "sounds good." The result is a proposal that's technically sound, narratively compelling, and compliance-ready.

  • Full narrative draft: Problem statement, project design, goals and objectives, methodology, and sustainability plan
  • Budget package: Detailed line-item budget with narrative justification and cost allocation methodology
  • Logic model: Visual framework connecting inputs, activities, outputs, outcomes, and impact
  • Evaluation plan: Data collection methods, metrics, timelines, and reporting structure
  • Support documentation: Letters of support, MOUs, organizational charts, and compliance attachments

Everything is internally reviewed before delivery. Nothing leaves DSA without a quality check.

Step 04

Submission &
Post-Award

The final step covers submission execution and — critically — what happens after the award is made. Most firms stop at submission. DSA continues through post-award startup.

  • Portal compliance: File formatting, character limits, upload sequencing, and submission verification
  • Quality assurance: Final cross-check of all documents against RFP requirements and funder guidelines
  • Post-award kickoff: Internal launch planning, role assignments, and stakeholder communication
  • Compliance matrix: A tracker linking every award term to specific operational requirements
  • Reporting calendar: Structured timeline for all required progress, financial, and narrative reports
  • Budget monitoring: Systems and protocols for tracking expenditures against the award budget

Winning is only half the work. Clean, disciplined execution protects the relationship with the funder — and positions you for renewals.
